Payment Policy 

At The Journey of Learning Languages, we aim to make the payment process simple and transparent for all our students and families. Please review our payment policy below:

  1. Accepted Payment Methods

    • Payments can be made via bank transfer, PayPal or any other agreed-upon payment method.
    • Details for bank transfers will be provided upon enrollment.
  2. Payment Requirements

    • A minimum payment of one-third (1/3) of the total lesson fees is required at the time of enrollment to secure your classes.
    • The remaining balance must be paid according to the agreed schedule.
  3. Payment Plans

    • We understand that flexibility is important, so we offer customized payment plans upon request. Please contact us to discuss available options.
  4. Refund Policy

Late Payment Policy 
 

At The Journey of Learning Languages, we strive to provide flexible payment options to accommodate our students and their families. However, it’s important to ensure that payments are made on time to avoid disruptions in learning. Please review our late payment policy below:

  1. Payment Deadlines

    • Payments for lessons must be made in accordance with the agreed-upon payment plan.
    • Timely payments ensure the student’s enrollment remains active and uninterrupted.
  2. Missed Payments

    • If a payment is missed, we will send a reminder to the student or guardian to resolve the issue promptly.
    • If more than one payment is missed, the student may no longer be allowed to attend classes until the outstanding balance is cleared.
  3. Communication is Key

    • We understand that unexpected financial challenges can arise. If you anticipate difficulty making a payment, please contact us as soon as possible to discuss alternative arrangements.
  4. Reinstatement

    • Once the outstanding payments are settled, the student may resume their classes, subject to availability.

Refund Policy

Our refund policy lasts 7 days after enrolment has been completed. If 7 days have passed since your purchase, we can’t offer you a full refund but exchanges may be possible. We cannot refund classes attended, unless our code of conduct was not met in said classes.

Once your refund request is received and inspected, we will send you an email to notify you that we have received your refund request. This is when we will also notify you if your refund has been approved or rejected.

If you are approved, then your refund will be processed, and the credit will automatically be applied to your credit card or original method of payment, within a certain amount of days.

Late or missing refunds

If you haven’t received a refund yet, first check your bank account again.

Then contact your credit card company, it may take some time before your refund is officially posted.

Next contact your bank. There is often some processing time before a refund is posted.

If you’ve done all of this and you still have not received your refund yet, please contact us at admin@the-jll.co.uk .

Sales Price Refund 

Only regular priced One on One classes and Groups classes may be refunded. One on One or Group classes that are on sale cannot be refunded.

Payment Plan Policy

To set up a payment plan with us, please follow these steps:

  1. Initial Deposit:
    A minimum of one-third (1/3) of the total payment is required at the time of enrollment. Once this initial deposit is received, we can proceed with establishing your payment plan.

  2. Confirmation and Scheduling:
    After your initial payment is processed, we will email you to confirm receipt. In that email, please provide the dates on which you would like to make the remaining payments. We will work with you to finalize these dates.

  3. Bank Arrangements:
    Once the payment dates have been agreed upon, please contact your bank to arrange for transfers on those specified dates. This will help ensure that all payments are made on time.

  4. Applicability:
    Please note that payment plans are available for blocks of lessons only. If individual lessons are to be covered under a payment plan, this option is limited to students with an extended period of enrollment or on a case-by-case, short-term basis.

Price Changes Due to Exchange Rate Policy

All prices on our website are quoted in British pounds (GBP). For your convenience, we may occasionally display the equivalent price in your local currency based on the current exchange rate. Please note that these local currency amounts are estimates only and are not fixed. They reflect the exchange rate at the time of communication and are subject to change.

Ultimately, the final price you will be charged is in British pounds, and any variations due to fluctuations in exchange rates may affect the local currency equivalent. We reserve the right to adjust prices if there are significant changes in exchange rates that impact the final cost. If you have any questions regarding this policy, please feel free to contact us.

Exchanging, Rescheduling & Canceling Classes Policies 

Exchanging Classes. You are fully within your right to request an exchange of teacher. Please note, the only limitation for exchanging teachers is the availability of the new teacher. If you wish to change from One on One classes to Groups or vice versa, please email us at: admin@the-jll.co.uk . Please note that due to price differences between One on One classes and Groups classes; a refund may apply or you may owe more money.  
 
Rescheduling Classes. Please email us 24 hours before the class has started, to reschedule or cancel your class for free. Classes cannot be reschedule for free under 24 hours of the class scheduled to start. Please note, that canceled classes means you will not be charged for that class. 
 

Cancelling Classes. Classes cancelled more than 24 hours will be rescheduled for free. Classes cancelled under 24 hours will not be rescheduled and the teacher will receive their full hour payment. Classes must be cancelled by writing via email.

Classes cancelled by the teacher will be rescheduled for free or a substitute teacher will be assigned.

Cancelling Group classes. It is not always possible to reschedule a Group class, unless there is a free place in class (at the same level) and at the required time. Additionally, the teacher of that class must agree to having an extra student. To see if it’s possible to reschedule your Group class, we ask you email us a minimum of 24 hours before the scheduled start of the class. If it is not possible to reschedule your Group class, you can cancel for free before 24 hours.  

Cancelling One on One classes. It is only possible to cancel or reschedule for free if an email has been sent 24 hours before the scheduled start of the class. For rescheduling One on One classes, the teacher must be available to teach the class.

Attendance and Punctuality Policy

1. Timeliness: Arrive on time for all scheduled classes and activities. Notify your instructor in advance if you are unable to attend or late a session because teachers only need to wait 15 minutes for any late student, before the classes is canceled or the student is seen as absent. 

2. Absences: Keep absences to a minimum and provide valid reasons for any missed classes. It is your responsibility to catch up on missed work.

3. If a student is more than 15 minutes late for a group class, it is up to the teacher if they will be allowed to attend or not.

4. If a student is more that 15 minutes late for a One on One class, then is up to the teacher if the class will taught.

Class Observation and Quality Assurance Policy

At The Journey of Learning Languages, maintaining high-quality education is our top priority. To ensure our classes meet the highest standards, we conduct random observations of online lessons. These observations allow us to provide feedback to our teachers, ensure consistency in teaching practices, and continuously improve the learning experience for our students. Our goal is to create a supportive and effective environment where every student thrives.

Class Duration Policy

At The Journey of Learning Languages, we adhere to internationally recognized industry standards regarding lesson duration. To ensure effective learning while allowing for smooth transitions between sessions, our 1-hour lesson is defined as 50 minutes of instructional time, with the remaining 10 minutes allocated for lesson wrap-up, teacher preparation, and transition to the next session.

Purpose of 50-Minute Hour 

  1. Maximized Learning Efficiency – Studies show that a focused 50-minute session promotes better retention and engagement.
  2. Breaks for Students & Teachers – Short breaks between lessons allow both students and instructors to refresh, improving overall lesson quality.
  3. Industry Standard – Many educational institutions worldwide follow this practice to maintain consistency and professional standards.

Application of the Policy:

  • All scheduled 1-hour lessons will consist of 50 minutes of active instruction and 10 minutes of lesson conclusion and transition.
  • This applies to all courses, including General English, Business English, and curriculum-based lessons (British & Australian).
  • Students and teachers are expected to start on time and make the most of the 50-minute learning period.

By implementing this policy, we ensure a structured and high-quality learning experience for all students while maintaining professional teaching standards.

Holiday Policies

Classes will not be conducted on public holidays of the teachers (United Kingdom) or Lunar New Years (Chinese New Years), unless the teacher agrees.

Under UK law, our staff are entitled to take 28 days of holidays a year as part of their rights as employees. If a cover teacher cannot be arranged during this time, any affected classes will be postponed until the teacher’s return. Rest assured, there will be no additional cost to students for these rescheduled classes, and we will work to minimize any disruption to the learning experience. 

Attendance Policy

At The Journey of Learning Languages, we are committed to maintaining a fair and effective learning environment for all students. To ensure academic integrity and the best possible learning experience, we have established the following attendance policy:

  1. Only Enrolled Students May Attend
  • Attendance is strictly limited to the enrolled student. No other individuals (including parents, siblings, or friends) are permitted to participate in the lesson, as this can lead to unfair academic practices.
  • This policy is in place to prevent cheating and to ensure that each student fully engages with the learning material independently.

2. Parents & Guardians in the Classroom

  • We understand that parents may be concerned about their child’s ability to understand the lessons, especially at lower levels. However, our teachers are highly trained to support students with varying levels of English proficiency.
  • Parents or guardians should not complete assignments or assist during lessons, as this hinders the child’s learning progress.
  • If a student struggles, the teacher will provide appropriate support and adjustments to help them succeed.

3. Camera & Identity Verification 

  • Students are required to keep their cameras on during class. This helps maintain engagement and ensures that only the enrolled student is attending.
  • If the teacher suspects that multiple individuals are present or that someone is assisting the student, they may ask the student to turn their camera on for verification.
  • Failure to comply with this request may result in removal from the session.

Code of Conduct 

All classes must follow our Code of Conduct for both students and staff.

Introduction

Welcome to our online school. To ensure a positive, respectful, and productive learning environment, we have established this Code of Conduct. All students, teachers, and staff are expected to adhere to these guidelines. By participating in our programs, you agree to uphold these standards.

Harassment Code

Any form of racism, sexual harassment, bullying, ageisum or any form harassment is strictly forbidden. All classes must be conducted respectfully. Any student found not to follow these rules, will be removed from class without reimbursement. Any staff found not to follow these rules, will be removed from class and may face termination and/or legal action.

Dress Code

At The Journey of Learning Languages, we believe that maintaining a neat and respectful appearance contributes to a positive learning environment. To that end, we ask that all staff and students adhere to the following guidelines:

For Teachers:

  • Attire: Non-formal clothing is acceptable, provided it is neat, presentable, and modest.
  • Content: Clothing must be free of any offensive language, images, or slogans.
  • Overall Appearance: Teachers are expected to project a professional and approachable image to serve as role models for our students.

For Students:

  • Attire: Students should dress in a manner that is clean, neat, and presentable.
  • Content: Outfits must not feature any inappropriate or offensive language or imagery.
  • Overall Appearance: Maintaining a modest and respectful appearance helps foster an environment conducive to learning.

Bad Language Code

At The Journey of Learning Languages, we are committed to maintaining a respectful and inclusive environment. The use of offensive or inappropriate language is strictly prohibited in any language during classes or in any school-related communications. This includes all forms of profanity or expressions that may be deemed disrespectful in any cultural or linguistic context.

If a teacher later discovers that offensive language was used in class—regardless of the language—it is within their discretion to take appropriate disciplinary action. Additionally, if you encounter an English word that sounds similar to a bad word in your native language, please notify your teacher either before or after class, or send a message to ensure clarity and prevent misunderstandings.

By adhering to this policy, we can ensure a positive and respectful learning environment for all members of our community.

General Conduct

1. Respect and Courtesy: Treat all members of our community with respect and courtesy. Harassment, discrimination, and inappropriate behavior will not be tolerated.

2. Integrity and Honesty: Uphold the highest standards of integrity and honesty. Academic dishonesty, including plagiarism and cheating, is strictly prohibited.

Student Responsibilities

1. Participation: Attend and participate in all scheduled classes and activities. Engage actively in discussions, complete assignments on time, and contribute positively to the learning environment.

2. Preparedness: Come to class prepared, having completed any assigned readings or homework. Ensure that you have the necessary materials and technology for each session.

3. Communication: Communicate respectfully and constructively with teachers and classmates. Use appropriate language in all forms of communication, including emails, chat, and discussion forums.

4 .Manners:  All students must be respectful to the teacher and other students. No bad language in any language is tolerated. Good manners and respect are expected during the whole lesson and during any form communication.  

5. **Technical Requirements**: Ensure that your internet connection, computer, and any other required technology are functioning properly. Inform the instructor promptly of any technical issues that may affect your participation.

Teacher Responsibilities

1. Professionalism: Conduct yourself with professionalism and integrity at all times. Prepare thoroughly for each class and deliver high-quality instruction.

2. Inclusivity: Foster an inclusive and supportive learning environment. Be mindful of the diverse backgrounds and needs of your students.

3. Feedback and Assessment: Provide timely and constructive feedback on assignments and assessments. Ensure that evaluations are fair and transparent.

4. Communication: Communicate clearly and respectfully with students and colleagues. Be accessible for student inquiries and provide guidance as needed.

Academic Integrity

1. Plagiarism: Do not present others’ work as your own. Always properly cite sources and give credit where it is due.

2. Cheating: Do not use unauthorized materials or assistance during exams or assignments. Maintain the integrity of your work.

Use of Technology

1. Appropriate Use: Use school-provided technology and platforms for educational purposes only. Do not engage in any activities that could harm or disrupt the school’s technological infrastructure.

2. Privacy and Security: Respect the privacy and security of others. Do not share personal information without consent or engage in any form of cyberbullying.

2. Appeal Process: If you believe you have been unfairly disciplined, you may appeal the decision through the school’s established appeal process.
